In this post I want share with you, what are the odds that a Franchise (group) Cybercafe can be better than a Self Managed Cybercafe. I will let you know what are they, so that you can compare.

Cybercafe Franchise System
How they operate?

Definition

According to wiki's definition, "Franchise is the practice of using another firm's successful business model."
Which means, a proven successful business already exist, and they, the franchisor will provide "successful" training and advice to franchisee. Not only operational advice were given, supplier liability will also bear by the franchisor. Franchisee don't need to look for supplier and deal with them, anything that franchisee need, a ordering sheet will be submitted to the head quarters and they will dispatch the supplies to the franchisee. The franchisor represent a brand itself, therefore the marketing will be handled by franchisor. All the franchisee need to do is to operate the outlet according to their standards and requirements. Example of franchise are like, MacDonalds, Subway, KFC.

Therefore, the criteria of a franchise:

• operation training and advice are given to the staffs
• supplier investment and liability bear by franchisor
• franchisee pays royalty fee for using the brand to the franchisor

In practice, a cybercafe group is also like a franchise, the first cybercafe was a successful one, and they decided to open another one and will provide training and technical support, network of people such as game publisher, hardware supplier, software dealer and many more so that the chain cybercafe can be successful as well.

The franchise system require the operator to pay the franchisor a fee, it's a one time fee for an outlet, and on top of that they will collect a percentage of gross profit of the outlet as a royalty fee.

What do owner get after paying the royalty fees?

Cybercafe who signed contract with them will have the following:

• Training on how to become a cashier and give proper customer service.
• Training given to handle technical problems.
• If hardware/software encounter problem, a professional technician will go on site and solve the problem.
• Hardware/software management system and process will be given.
• Hardware supplier to handle hardware problems. 
• Best practises to cut cost
• Strategic alliance with other game publisher, furniture, hardware supplier, getting everything in a lower price.

What does cybercafe operator doesn't have when they pay the royalty fee:

• Business operating license, the owner must have the consent from local municipal to open a cybercafe, where the franchisor is only providing the business modal, not the business application process. Franchisor have to focus on improving their standard of procedures so that they can yield more gains with lower operating cost.
• Lower rental cost, the business location and outlet is solely operator's responsibility. 
• The franchisor's brand, the operator must follow everything the franchisor advised as it's for getting the best outcome, rather than experimenting the market by the inexperienced  business owner. Operator are not allowed to act on their own, otherwise stated in the agreement. 

Who should go for the franchising?

Who? 

Business owner who doesn't have lots of knowledge on operating the cybercafe business or business network, or relatively none, but wants to spend their money on higher investment gains.

High investment gains?

Franchise has lower operating cost as they have strategic business partners to lower down the cost. Therefore, with lower cost, earning the same amount of revenue, the net profit is definitely higher compared to those inexperienced cybercafe owners manages. A cash flow comparison is provided at the end of this post.

Why?

1. Because of a group of cybercafe collectively pool their technical resources, any technical problem arise will be discussed and handled by those experienced technician, and the rest of the technical will follow those who already solved the problem. 
2. Not only it saves the newbie's time thinking about the solution, it also helps increase every technician's knowledge, and the amount of problem reported is more too.
3. Due to the monthly expenses such as technical support is a high, it will make a big impact on net profit on the long run. However with a franchise technician, he can be traveling to different cybercafe without staying in a cybercafe doing nothing. 
4. The bulk buying advantage, as a franchise group, the volume already existed, therefore they have the bargaining power. Imagine if a computer shop suddenly have a large quantity of orders, that worth the computer shop's 3 months sales. A discount can be given when there's a big volume ordering.

A sustainable cybercafe managed solely by the owner. They handle everything in the cybercafe.

What should a cybercafe owner do well in managing the outlet?

In order to manage a cybercafe outlet well, the cost center and revenue center must be managed.

Revenue center:
Computers, Internet and Games. These hardware and software are the one that will directly bring in revenue. Without them, the revenue generated will be lesser or none.

Cost center:
Customer service and marketing.  If the customer service is bad, then the customer will not come back. Without marketing, student promotion or other promotion will not attract customers in, generating lesser revenue indirectly.

The customer service must be perfect. They paid a fee to play in the outlet, therefore there are a few factors that the owner must be aware of.

• Players needs:
• Good ambiance, air conditioned, good chairs, nice lighting, decorations, background music, clean toilet, smoke free, no rude and annoying players.
• Large games variety, lots of latest and updated games.
• Computer's speed to play a perfect game, good PC hardware specification.
• Good internet connection and bandwidth management, ensuring no LAG occurrence.
• Good customer service, polite and help when players have problem. Especially handling refunds.
• Reasonable pricing for gaming.
• Convenience for game reload and mobile reload, etc

Therefore, to keep revenue coming in, the player needs above must be addressed.

Hardware management

Problems happens with all sorts of reason, it can be due to the game incompatible with hardware drivers. 

Keeping inventory of the computers, modem, switch, router, load balancer, cache servers, game server, movie server, billing and cashiering computer.


Map network device chances are useful for troubleshooting for the network devices.

These inventory information will be easy for the technician to troubleshoot problems encounter.

Software management

Software includes games, especially online games updates. With the recent hit of Ragnarok Online 2, a popular online game with constant game updates, if the game updates were not done, players will have to spend their time (money) wasted on updating the game themselves where the cybercafe themselves could have done it.

There are few ways how owners can manage the game folders. But the most effective and efficient way is to use a Game Server.

If they don't there will be a lot of work.

To get things done faster, get a Auto Game Update service where game updates are done by third party while you work on other things.

Licensing

One of the cost drivers, depending on the games that is demanded by players, the game publishers will collect a fee from the owner and pays it back to the original game creator.

Revenue generation- Without proper management system in place, owners tend to resort cheaper pricing to keep attracting customer to come back. This is an action that cybercafe will eventually take, and the outcome of cheaper pricing without fixing the root cause of problem will lead to business closure.

The following calculation are estimates, as different location has different market response.
Also, it is based on the following conditions and assumptions:

• Big sized cybercafe are harder to fill up to 100 % occupancy a.k.a full house, and the cumulative hours of full house is shorter.
• Medium sized cybercafe are easier to reach full house, and the cumulative hours of full house is longer.
• Small sized cybercafe doesn't need a supervisor, whereas a big one need a supervisor to make sure every computer, game, internet works.
• Franchise will send a professional or experienced technical to assist, as they pool all the technicians from different area, and share their experience, that way all technician will have cumulative knowledge and experience.
• Franchise has strategic business partners, assuming game publisher is one of them.
• Franchise fees are the same regardless more or less.
• No diskless, no game server, all using hard disk.
• A budget for hardware repair and upgrade is prepared to refresh the old PCs or for expansion, business is all about moving forward.
• The business area has no other competitor, only you.

The number highlighted inred indicates least favorable value.

Comments:

• After the ROI, the business owner has extra net income every month.
• Self managed cybercafe's net income after ROI is relatively lower than franchise. 
• To invest or expand further,the budget for hardware repair can be used for expansion.

In the end, setting up a cybercafe together with a group of cybercafe is better as they can provide additional technical support and share the latest technology to improve their service. As a cybercafe operator, everyone will go through hard times, it's part of business life cycle. The self managed cybercafe are actually the initial stage of cybercafe business, once the business is ready to expand, it takes on the franchise modal, or forms a group of cybercafe.

Even if cybercafe owner uses a Core 2 Duo, the server will experience lag if 100 PCs were all running at the same time. __________________________________________________________________ Cost analysis - Upgrade a CPU A downtime will caused a business losing income. Assuming, Rates = RM2.00/hour Cumulative full house hours/day = 3 hours 100PC/day = RM600/day Due to downtime, a business could lose up to RM600 a day. If the DDS server has low end spec, which cause dissatisfaction to customer, with the same rates, but lesser full house hours and it will cause a business to earn, Rates = RM2.00/hour Cumulative full house hours/day = 1.5 hours 100PC/day = RM300/day instead of RM600/day Cybercafe owner could only make RM300 a day for not upgrading the CPU. In other words, a low end spec could only achieve 50% of your maximum revenue earning capability. Why not save up and upgrade the CPU which can allow business to maximize the income generation? The cost to purchase a new CPU, i7, RM 900 (lowyat's price), so it takes 3 days to pay for a new CPU isn't it? What cybercafe owner initially invest is what he will get in return. The higher is the investment on the right system, the higher is the return. Always ask for a demo from different vendors on the same day. __________________________________________________________________ Zero Downtime Practice: 2 DDS Servers Due to the practice to ensure zero downtime, 2 DDS servers are recommended, in the event of the server down, the other server will take over the whole 100 PCs I/O. That's why to anticipate the 100PC I/O, a DDS server must have the capability to sustain 100 PCs I/O. The 2 DDS Servers run concurrently, none of them is idle or place in the store room as a backup. The client PC connected to the down DDS server need to reboot and will be directed to the 2nd DDS server. __________________________________________________________________ Cost analysis - Getting 2 DDS Servers A downtime will caused a business losing income. Assuming, Rates = RM2.00/hour Cumulative full house hours/day = 3 hours 100PC/day = RM600/day Due to downtime, a business could lose up to RM600 a day. And lose customer loyalty. A DDS Server will fail when the hard disk in it starts to fail, during that time the technicianhave to troubleshoot it and fix the ONLY server as soon as possible. If the hard disk needs to be ordered, time is delayed. When the disk is back, but the contents are gone, technicians have to spend time to get the content back. A long list of games and other software need to be downloaded and install. If there's an image file kept as back up that could speed things up a little. The million dollar question, how long can you install all the games that you previously have? Just the hot games itself, how long would it take? Another 1 day? Just a day customer might think that the cybercafe is out of order and goes to competition's cybercafe, and became loyal to them. That will cause a life long lost. So prevent downtime, a DDS server might only cost around RM5k. That's roughly a 8 days worth of business revenue. __________________________________________________________________ Why need 32GB RAM at DDS server? Larger data bandwidth allow quicker data access, it also allow 100 client PC to process files faster all at the same time. Which when playing games, multitasking to listen to music or access files seems to be quick and flawless (not so laggy). However when the server side is offering that much of speed, the client PC side need to have at at least a 4GB RAM to experience the flawlessness. Client PC need a 4GB RAM is due to the Windows 7 64bit version ate a good 2GB, and the surplus 2GB is for better gaming experience. If you want to run Windows 7 on your PC, here's what it takes: 1 gigahertz (GHz) or faster 32-bit (x86) or 64-bit (x64) processor 1 gigabyte (GB) RAM (32-bit) or 2 GB RAM (64-bit) DirectX 9 graphics device with WDDM 1.0 or higher driver Also don't pump too much RAM to a Windows XP client PC: Physical Memory Limits: Windows XP The following table specifies the limits on physical memory for Windows XP. At a standard rate of RM2/hour, customer would be pissed if the game is laggy. Customer wouldn't mind if graphics to be displayed at it's minimum requirement. If the client PC can't multi-task then it would disappoint the customer as they might want to listen to music or download other files while playing or waiting the game. If the cybercafe rates were to be higher, then the customer would have higher expectation towards their gaming experience in the cybercafe. If customer have doubts whether their existing PC can use Michaelsoft DDS, please do send us your spec and we will respond as soon as possible. Cost effectively, compared to a hard disk solution that uses cloning method to do it's software maintenance, a hard diskless solution can reduce all those workloads to the least, together with auto game update, it's even more work efficient.

It is part of cloud computing, it has it's own benefits, and it's not cheap.

Ever since I was told about cloud computing, the wonders of how cloud technology can help you work from anywhere as long as you have internet. You can get the all stuffs exactly the same from your desktop, and you can get them, exactly on your mobile devices, like your smart phone and tablet.

Quick guide to virtualization:

1. Virtualization is not cloud computing, it's part of it.
2. Hypervisor seperates OS instances from the host machine.
3. Type 1 - Bare metal hypervisor: hardware > hypervisor > OS
4. Type 2 - Hosted hypervisor: hardware > OS > hypervisor > OS   
5. The server has a hypervisor installed, it has no interface. It shows the hardware spec, and IP address.
6. The management console is responsible for managing what's going on inside the server. It connects from the client PC to the hypervisor through network, identifying them by IP address displayed.
7. Additional OS instances, are uploaded through management console, uploads the image file of the OS to the server.
8. The migration process from existing one can be done from the existing server, it packages the whole content into a storage device, and re upload it   

Words are hard to digest? Don't worry there's a YouTube video that explains in visuals. 

What's the benefit of this Virtualization?

You can utilize their features for a larger scale IT environment, that's what they're meant for.

For virtualization, different company packaged their management console and hypervisors differently. If you want a lot of cool features, you might need to pay more and choose the right product from it's long product list. The management console are able to perform special operations such as:

1. Automatically On & Off Power

The server rack components consumes a lot of power, if not managed well, the 2U server that is not required for critical operations will cost a lot of electricity bill. With management consoles, the hypervisor can turn off the power when not in use, and turn back on when it’s required. Thus help saves electricity bill.

2. Fault Management

The hypervisors can move the OS instances to another hypervisor via management console, in case of server failure; the OS instances can be moved to another functioning 2U server. Thus, provide zero downtime and ample time for the IT executive to get the server up again.

3. Over allocation of server resources

The reason why corporates favors VDI is because they were able to fully utilize the resources on the server rack. User’s activities throughout their work time have peaks and valley. After they clock in, the first thing they do is to check email, that hour itself became a peak user activity where one of the 2U server’s resources are used up completely, with virtualization, the email reading instances can be transferred to another 2U server using the management console. Thus reducing the load on the 2U server, and prevent system from failing. There are valley user activities, after working for 4 hours, everyone is out doing something else that doesn’t require the server’s resources, that’s how the management console do load balancing and fault tolerance.

4. Saves hardware and infrastructure cost

Old production servers that servers critical mission, such as those enterprise resources planning (ERP) systems can be migrated to the virtualized servers, you can still run those systems such as Windows NT, displacing the old physical server, free up more space in the rack and keep it live as long as there's other virtualized servers on.

5. Improved productivity with enhanced work mobility using their own device

As long as there is good internet connection, staff's productivity can be improved through the use of virtualization. Imagine you can store all your working files on the cloud, or your company's server storage, or NAS, you can run applications which you don't need buy personally, and run applications which your own device cannot run. Ever thought you could use your tablet to work as if you're using a desktop? With virtualization you can!

6. IT admins gain more control over user's IT resources

The IT admins can distribute optimized IT resource, where they can control user's policy, rights, software, and resources. The management can safely comply with policies and get great value from their IT usage.

Microsoft will no longer release security patches and updates for Windows XP as of April 8, 2014, so all users are recommended to move to a newer OS version in order to avoid facing major security risks after end of support comes.

According to security experts, Windows XP users can expect to get their computers infected in only 10 minutes after Microsoft stops providing security patches, pretty much because cybercriminals would attempt to exploit every single minor flaw in the OS.

Michael Menor, who is a former military computer specialist and network engineer at Tech Experts, told the Law Journal that the security risks of staying with Windows XP were enormous, so everybody should update as soon as possible.

“They will get infected very quickly,” Menor said. “With XP, you can expect that within 10 minutes, the system would get infected without all of the patches and service bulletins.”

Windows XP is still installed on nearly 29 percent of desktop computers worldwide and chances are that not everyone will move to a newer platform by the time end of support comes.

Microsoft, however, calls for tech savvy users to join the effort of killing Windows XP by providing support to those still running it, in a move supposed to make the IT world a bit more secure.

“Microsoft has provided support for Windows XP for the past 12 years. But now the time has come for us, along with our hardware and software partners, to invest our resources toward supporting more recent technologies so that we can continue to deliver great new experiences,” the company explained in a statement.

“If you continue to use Windows XP after support ends, your computer will still work but it might become more vulnerable to security risks and viruses.”
